Honestly, the hardest part wasn’t the build — two people had refined their own spreadsheet workarounds over years, and letting go of them took a few weeks of working alongside them.

    We mapped how money actually moved through the business, redesigned the flow so each step fed the next, and connected it end to end. Built on Zoho Books.

    Month-end dropped from about twelve working days to two. Receivables became visible in real time, and the owner stopped waiting until mid-month to know how the previous month had actually gone.

    THE SITUATION

    The business had grown steadily, but its people processes had not. Attendance was captured through biometric devices, but payroll preparation remained largely manual using Excel. Leave approvals depended on individual communication and varied by manager. HR administration consumed most of the HR manager’s time — leaving little room for anything beyond the next payroll cycle.

    WHAT CHANGED
    We first redesigned how people information should move through the business — on paper, before any system was configured. Attendance, leave, payroll and employee communication were brought into one connected process. Employees gained mobile self-service; managers approved leave requests through WhatsApp; payroll became a structured workflow rather than a monthly manual exercise. Salary journals were automatically posted into Finance, creating proper alignment between HR and accounting. Built on Zoho People and Zoho Payroll, integrated with Zoho Books, as an Official Zoho Partner.

    THE OUTCOME
    Routine payroll preparation reduced from approximately two days to around three hours. Leave approvals became faster and more transparent. Employees gained visibility into their own attendance and payroll records through self-service. Finance benefited from automatic salary journal posting and more consistent reporting. The organisation gained better control over its people processes while reducing its dependence on manual administration.
